Scope and Aim

At Youth STEM 2030, we use your personal data to help us provide services to carry out our mission to empower young people to use science, technology, engineering and maths to change the world.

We have a responsibility to look after your personal data, and we take this very seriously.

This policy applies to information we collect about:

  • People who use our services or take part in our activities

  • Visitors to our website.

 

Your Rights

You have the following rights:

  • The right to be informed - You have the right to know about how Youth STEM 2030 uses your data.

  • The right to access - You have the right to request Youth STEM 2030 for copies of your personal data.

  • The right to rectification - You have the right to request that Youth STEM 2030 corrects any information you believe is inaccurate. You also have the right to request Youth STEM 2030 to complete the information you believe is incomplete.  We perform this service free of charge, except where doing so would require disproportionate effort.

  • The right to erasure - You have the right to request that Youth STEM 2030 erases your personal data, under certain conditions.

  • The right to restrict processing - You have the right to request that Youth STEM 2030 restricts the processing of your personal data, under certain conditions.

  • The right to object to processing - You have the right to object to Youth STEM 2030’s processing of your personal data, under certain conditions.

  • The right to data portability - You have the right to request that Youth STEM 2030 transfers the data that we have collected to another organization, or directly to you, under certain conditions.

If you make a request, we have one month to respond to you. If your request is extensive or complex, we may extend this period of compliance by a further two months.  In this event, we will inform you within one month, and explain why this is the case.

If you would like to exercise any of these rights, please contact us at our email: mhairi@youthstem2030.org.  Please note, to do this, we may need to request specific information from you to verify your identity.  In addition, we may in some cases be limited in what data we can provide you, if by doing so we would also be providing data on another individual. In these cases, we may have to ask for consent to contact the other individual for consent, edit out some of the data relating to the individual, or not share a portion of the data. If this is the case, we will communicate this with you as soon as possible and explain the reasoning behind this.

How we keep your personal information safe

To keep your personal data secure, we maintain physical, technical and administrative safeguards. 

We restrict access to your personal data to only those staff who need to know that information. In addition, we train our staff about the importance of confidentiality and maintaining the privacy and security of your information.

 

Transferring your personal information outside of the European Economic Area (EEA)

By the nature of the Internet it is possible that the personal information you provide to Youth STEM 2030 may be transferred to countries outside the European Economic Area (EEA). For example, some of our suppliers including Scholastica and Mailchimp may run their operations outside the European Economic Area (EEA). We will take steps to try to ensure that they provide an adequate level of protection in accordance with the GDPR.

 

Visitors to our website

The Youth STEM 2030 website, www.youthstem2030.org, is hosted by Squarespace.  Squarespace collects personal data when you visit this website, including:

  • Information about your browser, network and device

  • Web pages you visited prior to coming to this website

  • Your IP address

Squarespace needs the data to run this website, and to protect and improve its platform and services. Squarespace analyses the data in a de-personalised form.  Squarespace’s privacy policy is available here.

Website Analytics

The Youth STEM 2030 website collects personal data to power our site analytics, including:

  • Information about your browser, network, and device

  • Web pages you visited prior to coming to this website

  • Your IP address

This information may also include details about your use of this website, including:

  • Scrolling

  • Searches

  • Timestamps

We share this information with Squarespace, our website analytics provider, to learn about site traffic and activity.  Squarespace’s privacy policy is available here.

In addition, we use a third party service, Google Analytics, to collect standard internet log information and details of visitor behaviour patterns. We do this to track data, such as the number of visitors to various parts of the site.  Google’s privacy policy is available here.

In both cases, this information is processed in a way which does not identify anyone. We do not make, and do not allow Squarespace or Google to make, any attempt to find out the identities of those visiting our website. If we do want to collect personally identifiable information through our website, we will be up front about this. We will make it clear when we collect personal information and will explain what we intend to do with it.

The Youth STEM 2030 website uses cookies.  Cookies are text files placed on your computer to collect standard Internet log information and visitor behaviour information.  When you visit our website, we may collect information from you automatically through cookies or similar technology. This information is used to track visitor use of the website, and compile statistical reports on website activity.

The Youth STEM 2030 website contains links to other websites.  Our privacy policy applies only to our website, and we are not responsible for the privacy notices and practices of other websites even if accessed using links from our website.  We recommend that you read their privacy policies and have linked to them in this privacy information where we can.

 

Newsletters and Marketing

Lawful basis for processing the data

  • Consent

Collection purpose

  • If you have opted in for our newsletter, you will receive this newsletter, which will include updates on our work, special offers, details of events and details of related work from our partners.

Data held

  • We collect your name and email address. This only applies to the data we have for our newsletters, even if you signed up for another service while explicitly opting in for the newsletter.

How we collect the data

  • This data is collected via online forms and through programme opt-ins. If you sign up for our newsletter via one of our programmes, then you are agreeing for your name and email address to be transferred to our marketing lists, for the purpose you consented to.

Retention period

  • Your email address and name will be stored for as long as you remain subscribed to our newsletter.  You can unsubscribe at any point, through the ‘Unsubscribe’ link at the bottom of all of our newsletters  We do not send any of our marketing information to third parties, and the data is only shared internally if necessary and in compliance with data regulations.

Shared with a third party?

  • We use a third-party provider, Mailchimp, to deliver our e-newsletters. We gather statistics about email opening and clicks using industry standard technologies, to help us monitor and improve our e-newsletter.  Mailchimp’s privacy policy is available here.

 

Youth STEM Matters - Original Research and Review Article Submissions

Lawful basis for processing the data

Collection purpose

  • Operational requirements, specifically to allow the peer review and publication of articles that are submitted, and the operational communications with authors of this process.

  • Student ethnicity, gender, disability, location and age data are held (when provided) and used for anonymised diversity analysis.

Retention purpose

  • To keep in contact with and maintain a record of individuals/groups who have submitted articles to Youth STEM Matters, so we can verify the submission if asked by the individual/group in the future.

  • For future reporting purposes, which require historical data.

  • Student ethnicity, gender, disability, location and age data are held (when provided) and used for anonymised diversity analysis.

Data held

  • Any personal information that you choose to include in the contents of the article you submit to Youth STEM Matters will be held for the purpose of publishing your article.

  • Articles accepted for publication in Youth STEM Matters are published on the Youth STEM 2030 website (and potentially in print) alongside the author’s name, age, photo and country of residence.

How we collect the data

  • Data is collected online through your Scholastica account.

Retention period

  • Data will be held securely for as long as it is within our legitimate business interests to do so.

  • Other than the information which will be included in published articles, Youth STEM 2030 will not share your personal information with third parties, unless you have given us express consent to do so.

Youth STEM Matters - Science Communication Article Submission

  • We collect the data to assess if someone is suitable to join the Youth STEM Matters Volunteer Team, and to ensure we have parental consent for them to join.

  • We collect age, gender, ethnicity, disability and geography (town/ city and country) to monitor and develop the diversity of the Youth STEM Matters Volunteer Team.

Retention purpose

  • We retain the information you have submitted to allow us to provide you with feedback on your application.

  • Anonymised diversity analysis.

  • If you are successful in your application, the information you submitted to us will form part of your Volunteer Profile.  See ‘Youth STEM Matters - Volunteer Team’ for more information.

Data held

  • Name and email address.

  • Applicant ethnicity, gender, disability, location and age data are held (when provided) for anonymised diversity monitoring.

  • We also collect details of experience that relates to the role the applicant is applying for.  This may include previous or current voluntary roles or jobs.

How we collect the data

  • Data is collected online through a Google Form.

Retention period

  • For unsuccessful applicants: 3 months after the date on which the outcome of the application was communicated to the applicant by Youth STEM 2030, after which, the information will be securely destroyed.

  • For successful applicants: The data submitted will be retained as part of the individual’s Record of Volunteering.

  • To ensure that each team member is fully supported to carry out their role.

  • In accordance with our Safeguarding Policy.

  • Equality and diversity monitoring.

  • For the effective management of the Youth STEM Matters Volunteer Team.

  • To maintain communications with Youth STEM Matters Volunteer Team members.

Data held

  • Name, email, date of birth, address, telephone contact details, next of kin details, doctor details, health or dietary requirements, and accessibility information.

  • Parent/guardian name, email and contact details (for volunteer team members who are under 16 years old).

  • Equality and diversity information, i.e. ethnicity, gender, sexuality, disability, and religion - these fields are optional.

How we collect the data

  • The email address you submit through the ‘Youth STEM Matters - Volunteer Team Applications’ will be used to invite you to join Groop - a third party volunteer management system.  You will then create an account to provide the aforementioned data.

Retention period

  • Two years after leaving the Youth STEM Matters Volunteer Team.

Shared with a Third Party?

  • As part of our Onboarding Procedures, your email address will be shared with Groop (our volunteer management system) and Slack (our Youth STEM Matters workspace) to invite you to set up an account on these platforms.  You can access Groop’s privacy policy here, and Slack’s privacy policy here.

  • Otherwise, we will never share your personal information with third parties, unless we have your express permission.

 

Youth STEM Summit - Design Team Applicants
